8.1 Group Management

8.1.1 Group Management Overview

Purpose: Manage user groups, assign Heads of Departments (HODs), and maintain organizational hierarchy efficiently.

The Group section under User Management allows administrators to:

  • View existing groups along with HOD details.

  •  Edit or delete groups via action icons.

  • Search groups by name or username.

  • Add new groups with specific HOD credentials.

8.1.2 Existing Group Details

Displayed columns include:

  • Name : Name of the group (e.g., HR).

  • Head Name : Full name of the Head of Department.

  • Head Username :Unique system username of the HOD.

  • Action : Edit icon or Delete icon  existing group entries.

8.1.3 Add New Group

To create a new group, click the “+” icon in the top-right corner and fill out the following fields:

  • Group Name: The department or group title (e.g., HR, IT, Sales).

  • HOD Username :Unique login ID for the group head.

  • Name : Full name of the HOD.

  • Email : Official email address of the HOD.

  • Password : Secure login password for the HOD.

  • Create: Create to save the group and associate it with the HOD.

8.1.4 Storage Assignment

The Storage Assignment window allows administrators to view and manage the storage allocated to a user. At the top of the dialog, the Total Assigned Storage is displayed for quick reference. Under the Assigned Storage Packs section, all currently assigned storage packs are listed along with key details such as the order number, allocated storage size, plan information, expiration date, and the amount of storage used. Administrators can delete an assigned pack using the delete icon when necessary.

To allocate additional storage, the Assign New Storage section provides a dropdown for selecting an available storage pack and an input field for specifying the amount of storage (in GB). The system ensures that only the available storage capacity within the selected pack can be assigned. After entering the desired amount, clicking the plus icon applies the new storage assignment to the user.

8.1.5 App Assignment

 

The App Assignment window enables administrators to manage which applications are allocated to a specific user. In the Assigned Apps section, all currently assigned applications are displayed along with the order number, app name, remaining available licenses, and expiration date. Each entry also provides a delete icon that allows administrators to remove the assigned app from the user when required.

To assign additional applications, the Assign New App section includes a dropdown menu listing all available apps with remaining licenses. Administrators can simply select an app from the list and click the plus icon to assign it to the user. The system ensures that only apps with available license counts can be assigned, helping maintain accurate license usage and compliance.
